 Job Title: Executive Program Assistant

We are seeking a sharp and proactive Executive Assistant to play a critical role in supporting the Executive Director with expanding the organization’s activities throughout the continent of Africa.

 

Job Summary:

The Executive Program Assistant will be responsible for assisting the Executive director in the execution and monitoring of 88 International programs. The ideal candidate is a talented, detail-oriented and proactive Executive Program Assistant to support the planning, coordination, scheduling, execution, and reporting of our programs across Morocco, Senegal, and The Gambia. The Executive Program Assistant will work closely with the Executive Director, Country Managers and teams in each country to ensure the smooth running of our programs, facilitate timely and effective communication among stakeholders, process administrative documents, participate in the generation of reports, and contribute to the continuous improvement of program delivery.

 

Key Responsibilities:

  • Program Implementation and Coordination:
    • Assist in the coordination, monitoring, and implementation of 88 International programs, including music club installations, trainings, events, etc. 
    • Schedule and coordinate key meetings with the appropriate stakeholders.
    • Support and coordinate the development of detailed work plans, timelines, and schedules for program activities.
    • Assist in the coordination of alumni networks and support alumni-led activities, including meetings, regional events, and capacity-building workshops.
    • Monitor and evaluate program progress, making adjustments as necessary to achieve desired outcomes.
  • Document Writing:
    • Prepare event proposals and program documentation, including manuals, guidelines, and curricula.
    • Assist in preparing regular progress reports, meeting minutes, and other documentation to ensure transparency and accountability.
    • Assist in pursuing additional funding opportunities for program sustainability from different sources and manage grant applications as needed.
  • Reporting and Impact Assessment:
    • Assist in generating periodic reports on program activities, outcomes, and impact.
    • Assist in the data collection and analysis to monitor program effectiveness.
    • Help identify areas for improvement and propose solutions to enhance program effectiveness.
    • Ensure data collection and reporting requirements are met.

 

Qualifications and requirements:

  • Bachelor’s degree or equivalent in Business, Social Sciences, Management, International Development or a related field.
  • Executive assistant experience or some experience in program coordination, project management, or administration, preferably within an NGO or international development context.
  • Strong project management  and coordination skills, with ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data management tools.
  • Experience in document writing, proposal development and report creation in a non-profit setting is preferred.
  • Knowledge of international development issues and global affairs is preferred.
  • Fluency in English; proficiency in French or Arabic is a plus.
  • Willingness and ability to travel program sites, including but not limited to Morocco, The Gambia and Senegal when needed.
